iRobot is looking for a facilities coordinator to assist/coordinate day-to-day service requests for maintenance and repair of the iRobot campus. This position will work as a liaison and point of contact between business leaders, stakeholders, end users, facilities planning, master planning, and engineering teams to ensure that all facilities projects and moves are performed in a timely and high quality manner.

Essential Functions/ Job Duties

Facilities Planning

  • Work with the Facilities manager to implement day-to-day facilities planning and move activities as well as support for strategic projects in support of defined business and customers’ needs
  • Assist the Facilities manager with oversight of day-to-day move coordination and work order management
  • Manage CAFM and move management process and related processes and procedures for vendor coordination, and customer interface
  • Maintain active status for numerous iRobot licenses and permits as needed. Ensures licenses/permits renewed in a timely manner and are available for regulatory agencies.
  • Provide support globally as required to successfully support all facilities planning initiatives and other efforts as requested.

Move Management

  • Plan, schedule and manage large project moves; including coordination with project teams and vendors as necessary to successfully execute the moves
  • Schedule and lead move management meetings with internal business unit space liaisons and be their primary contact to discuss move process

Interior Design

  • Develop analysis and options for new space requests
  • In coordination with the brand team, scope out and price furniture and services required to support projects
  • Have AutoCad capabilities and experience to prepare sketches and plans for small scale projects

Project Management

  • Work with the Senior Director of Facilities and Real estate and Senior facilities coordinator to Plan, schedule and manage office reconfigurations and other projects as requested (office furniture, fixtures and equipment)
  • Track project scope, schedule, and costs
  • Schedule, lead & manage project teams and vendors as necessary to successfully implement projects
  • Follow up with vendors on billing issues.


  • Manage the Integrated workplace management system tracking all adds, moves, changes and seating programs globally
  • Serve as the SME for FPMO related workflows and activities
  • Be involved in system upgrades and other process improvement projects


  • 5 to 10 years’ experience in facilities administration/move management
  • Bachelor’s degree
  • AutoCad experience


Preferred Qualifications

  • Experience with developing and deploying IWMS and CAFM systems
  • PMP Certification
  • Prior move management and facility planning experience within a large corporate setting
